Job Summary We are a respected plaintiff-side employment law firm focused on representing individuals in meaningful, high-stakes matters. We are seeking a professional, detail-oriented Intake Coordinator/Assistant to serve as the first point of contact for potential clients. In this fully remote role, you will play a critical part in shaping the client experience—ensuring every caller is treated with professionalism, empathy, and respect, while gathering accurate information and keeping the firm’s intake and scheduling processes running smoothly. This position is ideal for someone who takes pride in being organized, responsive, and dependable in a fast-paced environment.

Responsibilities

Client Intake (Primary Responsibility)

  • Answer and manage inbound calls (primary phone coverage)
  • Speak with potential clients and gather key information using a structured intake process
  • Accurately document caller details, facts, and contact information
  • Route messages and intakes to the appropriate team member
  • Handle follow-ups and callbacks as directed

Scheduling & Coordination

  • Schedule consultations and calls with attorneys
  • Send confirmations and reminders (text/email)
  • Manage calendars and coordinate availability
  • Reschedule appointments and keep communication clear and timely

Administrative Support

  • Open new client files and maintain internal systems
  • Monitor voicemail and ensure timely responses
  • Assist with client communications (emails, letters, updates)
  • Maintain organized and accurate digital records

Requirements

Required

  • Prior experience in a client-facing or receptionist role
  • Strong phone presence and communication skills
  • Ability to work independently in a remote environment
  • Excellent attention to detail and organization
  • Ability to multitask and stay calm under pressure
  • Comfortable with technology (Google Workspace, scheduling tools, CRMs)

Preferred

  • Law firm or legal intake experience
  • Spanish language skills
  • Experience handling high call volume

Pay: $24.00 - $28.91 per hour Benefits:
