The Manager of Clinical Research Billing and Finance oversees the financial operations of clinical research, focusing on workflow standardization and compliance while managing a centralized team. This role involves ensuring the effective use of the Clinical Trial Management System and providing strategic oversight for billing and financial reporting.

Responsibilities

  • Responsible for oversight of research billing across all research teams. Uses practical research experience to bridge the gap between clinical study execution at the site level and backend financial operations and compliance
  • Responsible for study coverage analysis development and accuracy, budget creation and negotiation, and sponsor invoicing for study activity. Coordinates with study teams and appropriate ancillary/support units on pricing when creating budgets
  • Identifies reporting capabilities of current operations as well as develops metrics for ongoing operational performance improvement opportunities; generates and distributes these reports, and provides analysis and explanation of the contents of these reports
  • Provides investigators, study teams, revenue cycle, and institutional management with complete, accurate, and up-to-date billing compliance guidelines and requirements, new regulations, or regulatory changes regarding clinical trial billing
  • Oversees direct reports’ involvement with financial management of clinical trials in a Clinical Trial Management System (CTMS), providing best practices and recommendations for maximizing CTMS capabilities. Serves as the system subject matter expert of CTMS, ensuring BSMH maximizes this vital tool for the conduct of research. Monitors the functional intersection of the CTMS and Epic to ensure seamless workflows
  • Reviews contract and/or protocol amendments and evaluates impact on budget, Medicare Coverage Analysis, and billing plan; works with research and billing staff to ensure adequacy of sponsor funding. Assists with contract amendments
  • Oversees the management and distribution of funds deposited into the BSMH system-wide bank account exclusively dedicated to clinical research. Responsible for the accounting of research revenue so that it is accurately recorded per system processes and financial architect
  • Annually, updates BSMH’s Research Fee Schedule and Overhead documents. Distributes updated documents to all stakeholders for consistency and best practices use
  • Provides guidance to site research billing teams to identify, analyze and resolve issues related to research patient accounts for proper payment from sponsors, patients, and/or third parties in order to maintain research billing compliance
  • Assists and guides site billing research team to resolve claim issues
  • Oversees financial interactions with site research teams with external affiliate provider groups. Interfaces with affiliate provider group billing entities to address any issues and facilitate billing compliance all parties
  • Interacts directly with research teams and local market leaders to ensure a comprehensive understanding of existing processes that maximize financial returns in the conduct of research

Skills

  • Bachelors Degree (required)
  • 7+ years of progressive experience in clinical research operations, trial coordination, site management, or research compliance administration (required)
  • 3+ years supervisory experience (required)
  • Masters Degree (preferred)
  • AHIMA, Certified Clinical Research Professional (CCRP) or similar (preferred)
  • 1 year experience in basic accounting functions; experience (or equivalent education) in clinical research or related fields, preferably in billing, coverage determinations and budgeting and/or understanding of research billing regulations; hospital and professional coding experience, and reimbursement (preferred)
